The “Orders” tab will take you to a screen showing all orders placed on your website and the status of each.
- Each time a customer places an order, it will appear here with a status next to it. Automatic Paypal confirmations are sent to both the customer and to you.
- You have the choice to view all orders regardless of status or to narrow the fields. This will obviously become more important as your business picks up and you need to see specific lists promptly.
- The options for the lists presently available are :

- ALL
- NOT PAID - Waiting for payment
- PAID - Waiting for dispatching
- PAID and dispatched (order complete)
- The search criterion is via the order number. This is provided to the customer when they place their order. Confirmation of the order number is also emailed with the Paypal payment confirmation also advising the order number.
- The lists are always in date order with the most recent orders at the top.
- In the “Order ID” box type the order number or part thereof. You can select the filter field from the drop down menu or leave it at the default setting of “All”.
- Press “List orders” and the order or orders will appear at the bottom of the page.
10b. Orders – NOT PAID – Waiting for payment
- For the purpose of visual effect a new dummy order has been created for a Mr Shoppa Holic. The order number 010307144 has been allocated but this number will change during the example as we will keep on creating dummy orders in order to show you each stage of the process in detail.
- In the “Order ID” field type the order number of your customer or leave the field blank. Select the appropriate “filter” field or leave at the default setting of “All”. Click “List order”
- Click on the order you want and you will be taken to the order detail screen. Here you will see all the information to do with both the order and the customer.
- You can see the full details of the items orders, the price paid, the postage paid and the quantity purchased. You are also provided with the customers personal details including name, address, and telephone and email contacts.
- The right hand side shows clearly the order status, in this case “waiting for payment”. This can be for various reasons but would normally only be because the customer was unable to make the payment. Perhaps the customer is paying by cheque if you have permitted such an option.
- Below the status you are given three options:
- Mark order as Paid
- Go back to Orders
- Cancel this order
- Once appropriate payments have been made you can update the order status. By clicking on “Mark order as Paid” the status will change to:
Order status: Paid - waiting for dispatching
- Ensure payment has been fully received before clicking on “Mark order as Paid” as at present this cannot be unmarked.
- The three options also change now to:
- Mark order as Dispatched
- Go back to Orders
- Cancel this order
10b. Orders – PAID – Waiting for Dispatch
- Again we will use the dummy order created for Mr Shoppa Holic. The order number 010307144 has been allocated but this number will change during the example as we will keep on creating dummy orders in order to show you each stage of the process in detail.
- In the “Order ID” field type the order number of your customer or leave the field blank. Select the appropriate “filter” field or leave at the default setting of “All”. Click “List order”
- You will notice that orders awaiting dispatch are shaded in a light pastel colour. Click on the order you want and you will be taken to the order detail screen. Here you will see all the information to do with both the order and the customer.
- You can see the full details of the items orders, the price paid, the postage paid and the quantity purchased. You are also provided with the customers personal details including name, address, and telephone and email contacts.
- The right hand side shows clearly the order status, in this case “Paid-waiting for Dispatch”. This confirms that payment have been made and received and the order is now ready to be picked and sent to the customer.
- Below the status you are given three options:
- Mark order as Dispatched
- Go back to Orders
- Cancel this order
- Once the order has been picked, packed and dispatched you can update the order status. By clicking on “Mark order as Dispatched” the status will change to:
Order status: Dispatched
- Ensure the order has been fully picked, packed and dispatched before clicking on “Mark order as Dispatched” as at present this cannot be unmarked.
- The three options also change to only to and are now:
- Go back to Orders
- Cancel this order
- On the main order list, the orders that have been dispatched are now complete and will be shown in a light green colour for quick identity.
10c. Orders – Go back to orders or Cancel this order
- When you are in either of the screens described in 10a and 10b the other two options listed are as follows:
- Go back to Orders
- Cancel this order
- By clicking “Go back to Order” you are simply taken back to the full orders listing page. Any changes made will also be showing in real time on this page.
- The cancelling of an order can be done at any stage by you. Perhaps your customer has contacted you and needs to cancel the order. Stocks may be low and you did not have enough to fulfil the order so after contacting your customer you agreed to cancel the order.
- In the “Order ID” field type the order number of your customer or leave the field blank. Select the appropriate “filter” field or leave at the default setting of “All”. Click “List order”
- You will notice that orders awaiting dispatch are shaded in a light pastel colour. Completed orders are in light green. All other orders are uncoloured. Click on the order you want and you will be taken to the order detail screen. Here you will see all the information to do with both the order and the customer.
- You can see the full details of the items orders, the price paid, the postage paid and the quantity purchased. You are also provided with the customers personal details including name, address, and telephone and email contacts.
- Click on the “Cancel this order” button on the right hand side or the screen. You will then see the following message:
Cancel Order
You are about to cancel the order “010307144 ".
Do you really want to proceed?
- If you are sure click on “Proceed (Delete)” and you will see the following confirmation message:
Order “010307144 " cancelled.
- Alternatively press “Cancel” to return to the order screen.
